WhatsApp ordering for restaurants: setup and operating guide

WhatsApp ordering works best as a deliberate handoff: the guest builds a cart on a mobile menu, reviews the prepared message, and taps Send to the restaurant. It avoids a customer app download, but the restaurant still needs clear fulfillment rules and an inbox that staff actively monitor.

Use a dedicated, monitored number

Choose a WhatsApp-capable number that staff can access throughout opening hours. Enter the full international format and publish the same contact consistently. A prepared order is not received until the customer opens WhatsApp and presses Send, so the checkout screen must explain that final action.

  • Include the country code.
  • Set an owner for the inbox on every shift.
  • Publish opening hours and realistic response expectations.

Collect only the details fulfillment needs

A pickup order normally needs a customer name, phone number, requested time, item list, quantities, notes, and total. Delivery also needs the address and any configured delivery fee or minimum. Keep the message structured so staff can read it quickly on a busy phone.

  • Separate items, customer details, and fulfillment details.
  • State whether the displayed total includes delivery.
  • Ask staff to confirm acceptance and timing in the chat.

Test exceptions, not just the happy path

Place a small pickup order, a delivery order near the minimum, an order with item notes, and an order while the store is paused. Confirm the exact phone number, encoded message, currency, line totals, delivery charge, and address. Test on both WhatsApp mobile and WhatsApp Web if staff use both.

  • Try a number with spaces and punctuation.
  • Use long item names and multiple quantities.
  • Confirm unavailable items cannot be ordered.

Know when a fuller ordering system is needed

A prepared WhatsApp handoff is a good fit for independent businesses that already manage customer conversations in WhatsApp. Choose a broader platform when orders must be accepted automatically, paid online, synchronized to a POS, printed in a kitchen, dispatched to drivers, or reported across many locations.

Keep checking the fit

Is this the WhatsApp Business API?+

No. FastQRMenu prepares a WhatsApp link and message. The customer reviews it and taps Send from their own WhatsApp app.

Are WhatsApp storefront orders saved in the FastQRMenu dashboard?+

The current WhatsApp storefront handoff is managed in WhatsApp rather than saved as a live dashboard order first.

Can I offer both pickup and delivery?+

Yes. Configure either or both fulfillment methods, then add the delivery fee, minimum, and instructions that apply.
